Report Scheduler lets you schedule reports to be sent automatically via email. Set up recurring schedules or one-time deliveries to contact groups.

Getting Started

Accessing Report Scheduler

  1. Open a report in Report Details
  2. Find the "Scheduler" tab or section
  3. Click to open the scheduler interface
  4. View existing schedules or create a new one

Understanding the Scheduler Interface

Main View Shows:
  • Header: "Report Scheduler" with description
  • Active Schedules List: All schedules for the report
  • Create New Schedule Button: Add a new schedule
  • Empty State: Message when no schedules exist

Creating a New Schedule

Step 1: Open Create Form

  1. Click "Create New Schedule"
  2. Form opens with configuration options
  3. Two-column layout: Form on left, Preview on right

Step 2: Configure Schedule Details

Schedule Name
  • Enter a descriptive name
  • Example: "Weekly Executive Summary", "Monthly Team Report"
  • Helps identify the schedule
Frequency (When)
Choose how often to send:
Just Once
  • One-time delivery
  • Select specific date and time
  • Good for: One-time reports, special events
Daily
  • Every day at the same time
  • Select time only
  • Good for: Daily dashboards, regular updates
Week Days
  • Monday through Friday only
  • Select time only
  • Good for: Business day reports
Weekly
  • Same day each week
  • Select day of week and time
  • Good for: Weekly summaries, regular reviews
Monthly
  • Same day each month
  • Select day of month (1-31) and time
  • Good for: Monthly reports, recurring analysis
Time Configuration
For Daily/Weekdays:
  • Time picker only
  • Select hour and minute
  • Example: 9:00 AM, 2:30 PM
For Just Once/Weekly/Monthly:
  • Date/Day selector + Time picker
  • Side-by-side layout
  • Time must be at least 5 minutes in the future
Important Time Rules:
  • Time must be more than 5 minutes after current time
  • System uses your timezone
  • Times are converted to server time automatically

Step 3: Configure Email Settings

To (Contact Group)
  • Select a contact group from dropdown
  • Shows available groups
  • All members of the group receive the email
From
  • Pre-filled: "noreply@trustminder.ai"
  • Read-only
  • Standard sender address
Email Subject
  • Customize the subject line
  • Defaults to report name if empty
  • Use descriptive subjects
Message
  • Optional email body text
  • Supports CCV placeholders
  • Personalize with contact variables
Using CCV Placeholders:
  • If the contact group has CCV fields, buttons appear
  • Click a CCV button to insert it into the message
  • Example: {{department}} becomes the recipient's department
  • Personalizes each email

Step 4: Review and Save

Preview Panel (Right Side)
  • Shows frequency summary
  • Displays selected contact group
  • Shows email subject
  • Updates as you configure
Save Schedule
  1. Review preview
  2. Ensure all required fields are filled
  3. Click "Save Schedule"
  4. Schedule is created and appears in the list
  5. You're redirected back to the scheduler view
Form Validation:
  • Schedule name required
  • Frequency must be selected
  • Time must be valid (5+ minutes in future)
  • Contact group must be selected
  • Date/day required for Just Once/Weekly/Monthly


Understanding Schedule Status

Active Status

Active (Green)
  • Schedule is active
  • Next run is in the future
  • Will execute automatically
  • Green status dot indicator
Inactive (Grey)
  • Schedule has completed or expired
  • Next run is in the past
  • Will not execute
  • Grey status dot indicator
Status Determination:
  • Based on next run date/time
  • Automatically calculated
  • Updates when schedules run

Viewing Schedules

Schedule List Display

Each schedule shows:
Status Indicator
  • Green dot: Active
  • Grey dot: Inactive
  • Visual status at a glance
Schedule Name
  • Name you assigned
  • Helps identify the schedule
Status Chip
  • "Active" or "Inactive" badge
  • Color-coded for quick recognition
Contact Group Information
  • Group name
  • Number of recipients
  • Example: "Executive Team (5 recipients)"
Next Run / Ran At
  • Next Run: When schedule will execute next
  • Ran At: When a one-time schedule executed (if in past)
  • Formatted as: "MMM d, yyyy 'at' h:mm a"
  • Example: "Dec 15, 2024 at 9:00 AM"
Action Buttons
  • Edit Icon: Modify schedule
  • Delete Icon: Remove schedule

Managing Schedules

Editing a Schedule

  1. Click the Edit Icon (pencil) on a schedule
  2. Edit form opens with current settings
  3. Modify any configuration
  4. Click "Save Schedule" to update
  5. Changes take effect immediately
What You Can Edit:
  • Schedule name
  • Frequency
  • Date/time/day settings
  • Contact group
  • Email subject
  • Email message
What Happens:
  • Schedule updates with new settings
  • Next run recalculates
  • Status updates if needed
  • Existing schedule is modified (not duplicated)

Deleting a Schedule

  1. Click the Delete Icon (trash) on a schedule
  2. Confirmation dialog appears
  3. Review schedule name
  4. Click "Delete" to confirm or "Cancel" to keep
  5. Schedule is permanently removed
Important:
  • ️ Cannot be undone
  • Schedule stops immediately
  • No future emails will be sent
  • Historical schedule data may be retained


Understanding Schedule Frequencies

Just Once

Configuration:
  • Select specific date
  • Select specific time
  • One-time execution
Use Cases:
  • Special event reports
  • One-time analysis
  • Project completion reports
  • Test schedules
Status After Execution:
  • Shows "Ran at" instead of "Next run"
  • Status becomes "Inactive"
  • No further emails sent

Daily

Configuration:
  • Select time only
  • Runs every day at that time

  • Daily dashboards
  • Regular updates
  • Continuous monitoring
Next Run:
  • Calculated as next occurrence of selected time
  • Updates automatically after each run

Week Days

Configuration:
  • Select time only
  • Runs Monday through Friday
Use Cases:
  • Business day reports
  • Workweek summaries
  • Excludes weekends
Next Run:
  • Next weekday at selected time
  • Skips weekends automatically

Weekly

Configuration:
  • Select day of week (Monday-Sunday)
  • Select time
  • Runs same day each week
Use Cases:
  • Weekly summaries
  • Regular team updates
  • Recurring reviews
Next Run:
  • Next occurrence of selected day/time
  • Example: "Every Monday at 9:00 AM"

Monthly

Configuration:
  • Select day of month (1-31)
  • Select time
  • Runs same day each month
Use Cases:
  • Monthly reports
  • Recurring analysis
  • Regular summaries
Important Notes:
  • Day 31 may not run in months with fewer days
  • System handles month-end automatically
  • Next run adjusts for month length

  • Report Attachment: PDF or link to report
  • Report Content: Full report data

Contact Groups

How They Work:
  • Select a contact group when creating schedule
  • All members of that group receive the email
  • Group membership is managed separately
  • Recipient count shown in schedule display
